I’m Jayne Miller, the QuickBooks Gal.
One of my clients recently asked me why she was getting a message that her back up media was full and how to clean it up so she could continue to use it.
Here's what you need to do:
Open MY COMPUTER
Find the Flash drive or Zip Drive for the back up media you use
Double-click on it to open it
Select VIEW in the upper tool bar of the new window you have opened
Select LIST view so you can see the dates of all of the files
Once open, hold the Control Key down while you right-click on each of the files that you want to delete (keep the most recent 3 - 5)
Then when they are all highlighted in blue, press the delete key. This will eliminate the oldest ones and clear lots of space for you to use.
Typically, you don't need to save lots of back ups....the last 3-5 are probably enough.

Do you ever wish you could open QuickBooks without an open company file? If you are a consultant or a bookkeeper with several company files, or you would like to open the software without opening a file (maybe someone is in your office and you don't really want them to see your file if you are not able to close it quickly enough).
There is a simple way to do this:
Just hold the control key when you open QuickBooks (any version - opened from any where - i.e. desktop shortcut or Start menu) and QuickBooks will open without an open company file.
Try it...it is really great if you are a consultant who might be seeing a client in your office...you really don't want them to see either your QuickBooks file or a client file that you may have been working in before they came to your office.

Today we’re talking about classes in QuickBooks. And I don’t mean going back to school.
Class tracking is a powerful feature that allows you to view reports such as your profit and loss by location, branch office, or other class that you define.
In order to use class tracking, the first thing you have to do is turn that feature on.
Go to the "Edit" menu and select "Preferences."
From there, Click on "Accounting" and select the "Company Preferences" tab.
Now click in the box next to "Use Class Tracking" to turn the feature on.
Once you've done that click OK.
Now every time you write a check, enter a bill, or record a deposit, you will see a "class" column.
To add classes you can either type something into that column the first time you need to set it up (QuickBooks will prompt you to create the class) or you can go to the "Lists" menu and click on "Class List" which will open up a window displaying your existing classes where you can add or modify them.
The only thing left is to now view reports by class.
